The Charles County Health Department is located at 4545 Crain Highway, White Plains, MD 20695. The phone number is 301-609-6900. This office issues death certificates for Charles County, but with a process unlike most other counties in Maryland. You cannot enter the building to pick up a certificate. The health department operates a curbside-only system for all vital records pickups, and no walk-in service inside the building is available.

Death certificates are available on Tuesdays and Thursdays only. Birth certificates are handled on Mondays, Wednesdays, and Fridays. If you arrive on the wrong day, you will not be helped with a death certificate. Plan your visit around the Tuesday or Thursday schedule. There is no flexible scheduling for death records at this location.

When you arrive at the health department on Crain Highway, stay in your vehicle and call the office at 301-609-6900. Let staff know you are in the parking lot. A staff member will come out to your vehicle. Have your photo ID and payment ready before they arrive. The process is quick, but you need everything in hand because you are not going inside. Certificates are processed and then mailed to you after your visit. You do not receive them at the curbside window.

The fee is $20.00 per copy. Payment by cash or credit card is accepted. The health department vital records page is at charlescountyhealth.org/vital-records. Call ahead before your visit to confirm the record you need is available locally and to ask about any changes to the schedule.

The Maryland State Archives maintains SE151, the statewide Death Index that covers deaths from 1973 through 2014. Charles County carries the code 8 in this index. The SE151 index is free to search online through the Archives catalog at guide.msa.maryland.gov. Filter by county code 8 to focus on Charles County results. The index shows the decedent's name, death date, county, and certificate number.

Once you find a record, use the certificate number to order the full certified copy. For recent deaths handled by the Charles County Health Department, call the office at 301-609-6900 and schedule your curbside appointment for a Tuesday or Thursday. For older records outside the local range, use VitalChek or mail a request to the VSA.

Deaths after 2014 are not yet in the SE151 index. For those, call the health department or use VitalChek directly at vitalchek.com. For deaths before the local office range, the VSA and Archives handle requests as described in the sections below.

Note: The SE151 index does not produce a certified certificate. It is a search tool to locate records and get certificate numbers before placing a formal order.

Ordering Charles County Death Records by Mail or Online

If you cannot make the curbside pickup on a Tuesday or Thursday, or if the record predates the local range, you have two main remote options: VitalChek and mail to the Maryland Division of Vital Records.

VitalChek at vitalchek.com is the state's authorized online ordering service. It covers Maryland death records from 1969 to the present. You fill out a form online, pay by credit card, and the certificate arrives by mail within about seven to ten business days. VitalChek charges the state fee plus a service fee. This is the fastest remote option for recent Charles County deaths.

To order by mail, send your request to the Maryland Division of Vital Records, 6764 N. Crain Highway, Waldorf, MD 20603. The phone is 410-764-3038, and their home page is at health.maryland.gov/vsa. The VSA also offers ordering through the MSA portal at shop.msa.maryland.gov.

For deaths before 1969, the Maryland State Archives holds the records. Contact the Archives at 410-260-6400 or search the online catalog to identify the right series. Pre-1969 records are not available through VitalChek or the VSA's standard ordering system.

Historical Charles County Death Records

The Maryland State Archives holds Charles County death records going back to the late 1800s. For the oldest records, the SE42 series covers roughly 1898 to 1910. This was an early state registration period with incomplete coverage. Not every death made it into the system, but SE42 is worth searching if you are looking for a Charles County death from that era. The SE42 index is searchable online through the Archives catalog.

The S1179 series covers approximately 1910 to 1951. These records are on microfilm. Within the S1179 collection, Charles County records appear on reels labeled with the county abbreviation CH. When visiting the Maryland State Archives reading room in Annapolis, ask for the CH reels when researching Charles County deaths in the S1179 period. Staff will help you find the right reel and set up at a microfilm reader. You can also request copies by mail, though mail requests take longer.

For deaths between 1952 and 1968, the VSA holds the records. Call 410-764-3038 for those years. The SE151 index starts at 1973, which leaves a gap from 1969 to 1972 within the VSA's custody. Reference the year and name when you contact the VSA, and staff can check availability and process a copy request.

The Archives death records FAQ at guide.msa.maryland.gov outlines which series covers which years. Reading it before you start will help you pick the right office and avoid sending requests to the wrong place. The page also explains what documentation you need and how to submit a mail request to the Archives.
